Send Automated Emails Straight From Company and Custom Object Workflows
A quick heads-up: this one's in Labs
It's an early feature you turn on yourself in Settings > Labs inside your account. It works, but it's still in development - the documentation and support is limited and not everything will behave perfectly yet.
If you like getting your hands on new things early, switch it on and have a play. If you'd rather wait for the finished, fully-supported version, leave it off and we'll let you know when it lands.
Up until now, if you wanted a workflow to send an email, that workflow had to be built on contacts. Company and Custom Object workflows could do plenty, but sending an email wasn't part of it.
That's changed. You can now drop a Send Email action straight into a Company or Custom Object workflow, and it will reach the contacts linked to that record. No extra workflows, no manual sending, no clever workarounds.
Add the Send Email action
Open a Company or Custom Object workflow. Click add action and search for Send Email, just like you would in a contact workflow.
In the screenshot above, you'll see the Send Email action ready to be added. Pick it and the setup panel opens.
Choose who actually gets the email
Because these workflows run on a company or an object rather than a single contact, you tell the system which associated contacts should receive the email. You do that by selecting the association label or labels that connect those contacts to the record.
You can select up to ten association labels for one email action. And if a contact happens to match more than one of the labels you've chosen, don't worry - they'll only get the email once.
For Custom Object workflows, you also get to decide how far the email reaches. You can send to the earliest associated contact, the most recently associated contact, or all associated contacts.
That little choice does a lot of work. It lets you say "just the first person we linked to this" or "everyone connected" without building any of that logic yourself.
Write the email and publish
From here it's the same as any other email action. Add your subject line and your content, using the builder you already know.
When it looks right, save and publish your workflow. One quick note worth knowing: these emails go out using the domain you've set up for Bulk Email, so make sure that's sorted before you rely on it.
That's the whole thing. If you've been running Company or Custom Object workflows and wishing they could email people directly, now they can - go and try it on one of yours.
