Opportunity Forms That Adapt to Each Deal With Conditional Fields

A quick heads-up: this one's in Labs

It's an early feature you turn on yourself in Settings > Labs inside your account. It works, but it's still in development - the documentation and support is limited and not everything will behave perfectly yet.

You know that opportunity form with a dozen fields on it, most of which don't apply to the deal in front of you? The one where half the boxes are blank because they were never relevant, and the one detail you actually needed got skipped anyway?

Now your opportunity forms can adapt on their own. You set the rules, and the form shows only the fields that matter for that deal - and can insist the important ones get filled in before anything saves.

What you can do with it

You build simple rules that react to a deal's pipeline, stage, status, or the value of another field. Based on those, the system can:

  • Show a single field, or a whole folder of fields, only when it's relevant
  • Make a field mandatory so an opportunity can't be saved without it
  • Combine conditions with AND/OR logic when a deal needs more than one thing to be true

These rules apply when you add, edit, or bulk edit opportunities, on both web and mobile.

Where to build your rules

Head to Settings, then Custom Fields, then open the Opportunity tab and choose Conditional Rules. This is your home base for everything.

Click Create conditional rule to start a fresh one.

Setting the trigger

First you tell the rule when it should kick in. You can trigger off a pipeline, a pipeline stage, a status, or the value of a dropdown, radio, checkbox, or multi-select field.

Need more than one thing to be true? Use AND to require all conditions, or OR to fire when any one of them matches. In the screenshot below, you'll see how the conditions link together.

Choosing what happens

Next you pick the outcome. You've got three choices: show a field, show an entire folder of fields, or make a visible field mandatory.

One thing worth knowing here: any field or folder you put in a Show rule stays hidden until its conditions are met. Fields you don't include in a Show rule carry on appearing as normal. And if two rules both mark something as required, those requirements stack.

Check it before you commit

You don't have to save and hope. There's a live preview that shows exactly how the form will behave as you build the rule, so you can see fields appear and disappear in real time.

Happy with it? Click Save rule and it's active straight away.

Managing rules from a pipeline

There's a second door into this. Go to Settings, then Opportunities & Pipelines, open the Actions menu on a pipeline or stage, and choose Manage conditional rules. Handy when you're already looking at the pipeline you want to tidy up.

A few things to keep in mind

  • Only Admins can create, edit, or delete rules.
  • Rules are set up separately for each account, so they don't carry across.
  • Nothing changes until an Admin creates the first rule - your forms behave exactly as they do now until then.
  • The required-field validation applies to saves on web and mobile, but not to updates made through the Public API or workflows.

Start with one small rule on a pipeline you know well, watch it in the preview, and build from there. Once your forms only ask for what matters, your reporting gets a whole lot cleaner too.
